The National Agency for Communication and Information Technologies (NAKIT) is a state agency whose primary mission is to provide information services for public administration and support the development of eGovernment in the Czech Republic. It focuses on the design, implementation, and operation of communication and information technology infrastructure, application development and management, and the provision of cybersecurity services.
The Challenge
NAKIT processed pink tax declaration forms manually and in paper format, which created a significant time burden. The situation was further complicated by the fact that the agency employs more than 550 employees and 150 contractors across multiple locations throughout the Czech Republic, while the obligation to process tax declarations recurs annually. Additionally, data security posed a risk, as paper documents could pass through multiple hands.
Objectives
The situation required a comprehensive solution that would streamline and simplify the entire process for both employees and payroll accountants, while reducing the need for extensive consultations. A key requirement was direct integration with SAP HR to eliminate manual data exports and imports.

Solution
By implementing the e-Tax Forms application, NAKIT transformed the processing of tax forms into a fully digital process:
Forms are automatically pre-filled based on employee data.
Employees are guided through complex forms with interactive instructions and automated field validations.
Once the document is completed, the application automatically transfers the data into the payroll system.
In cases where an employee does not request annual tax settlement, the system automatically generates an income confirmation.
Attachments from previous years are available for updates, allowing employees to report changes to their taxpayer declaration throughout the year.
Documents are securely stored in the Electronic Employee File, where authorized personnel can easily retrieve them.
